Privacy Policy

This Privacy Policy explains how WizKeep ("we", "us") collects, uses, and protects your information when you use our accounting platform, on the web or in our mobile apps.

1. Information we collect

Account information: your email address and password (managed by our authentication provider), and optionally your name, phone number, company name, industry, profile picture, and the language you prefer.

Country and location of your business: the country and, where it applies, the state or province of your business, together with the currency your books are kept in. We need them to keep your accounting under the rules and the currency that apply to you, and they cannot be changed later without reinterpreting everything already recorded.

Business tax identification: the tax number of your business — the EIN in the United States, or its equivalent in the other countries we support — when you choose to enter it. We store it to complete your reports and documents; we do not use it for anything else, and we do not share it beyond what those documents require.

Financial information: transactions, balances and account metadata imported from your bank through Plaid when you choose to connect an account. Your banking credentials are entered directly with Plaid and never reach WizKeep servers.

Bank statements you upload: when your bank cannot be connected automatically, or you prefer not to connect it, you can upload a statement as a PDF, CSV or Excel file. That file contains the movements of your account, and it is processed and stored like the rest of your accounting data.

Content you upload: receipts, invoices and documents you add to your books, your business logo, and messages you exchange with your accountant inside the app.

Information about other people that you enter: when you issue an invoice you may record the name, address and email address of your own client. That information is yours, it stays inside your books, and we process it only to produce the documents you ask for.

Payment information: subscription payments are processed by our payment providers. WizKeep never sees or stores your full card number.

Device information for notifications: if you turn on push notifications, we store the notification identifier your phone issues and the platform it runs on, so that we can deliver them. Turning notifications off removes it.

Professional information, if you register as an accountant: the credential details you provide so that we can verify you, and the photo, description and specialities of your public listing. Verification is done by matching those details against the corresponding public register of tax preparers.

Usage and diagnostics: basic technical information needed to operate the service, such as crash and error logs.

2. How we use your information

To provide the service: keeping your books, syncing bank transactions, generating reports, and enabling collaboration with your accountant.

To operate and secure the platform: authentication, fraud prevention, debugging and support.

To communicate with you: transactional emails such as notifications you enabled, billing receipts and security notices.

We do not sell your personal information, and we do not use your data for third-party advertising or cross-app tracking.

3. Third-party services

We rely on a small set of processors to run WizKeep: Supabase (database, authentication and file storage), Plaid (bank connections), our payment providers for subscription billing, an email delivery provider for the notices we send you, and the notification services of Apple and Google to deliver push notifications to your phone. Each receives only the data needed for its function and is bound by its own privacy commitments and our agreements with them.

Document signing, PDF generation and exchange-rate lookups run on infrastructure we operate ourselves. Exchange rates are public data: looking one up sends no information about you.

4. Artificial intelligence

WizKeep uses artificial intelligence to provide features such as the Wippo assistant, voice dictation, receipt and bank statement scanning, and transaction categorisation.

When you use one of these features, only the content needed to produce the result is sent to our AI providers — the text or audio you supply, the image or file you upload, and the related transaction or account data. These providers act as processors on our behalf, do not use your content to train their models, and keep it only as long as needed to return the result.

Artificial intelligence can make mistakes. Anything it produces is a suggestion that you review and confirm before it is recorded, and it is not a substitute for professional accounting or tax advice.

Parts of the WizKeep website and mobile applications were themselves built with the assistance of artificial intelligence tools. All code is reviewed by our team before it reaches production.

5. Security

All traffic between your device and our servers is encrypted with TLS. Sensitive credentials such as bank access tokens are additionally encrypted at the application level. Access to production data is restricted and audited.

To resolve a support issue, a member of our team may need to open your account. That access requires a second authentication step, it is recorded — who, when, and what was consulted — and the record cannot be altered afterwards.

6. Data retention

We keep your data while your account is active. Some records may be retained after deletion where the law requires it — for example fiscal documents subject to legal retention periods, or append-only audit records that contain no readable personal content.

7. Deleting your account and data

You can permanently delete your account and associated data at any time from Settings → Delete account, both on the web and in the mobile app. If you can no longer sign in, you can request deletion at wizkeep.com/delete-account. Deletion revokes bank access at Plaid and cancels your subscription.

8. Your rights and contact

You can access and correct your profile information from Settings, export your accounting data from the app, and delete your account as described above. For any privacy question or request, write to advancedflowtools@gmail.com.

If we make material changes to this policy, we will update the date above and notify you in the app.
